Dryer Vent Inspection Report Form

A free printable form for a dryer vent inspection visit. It records what you looked at, what you observed, and what you could not inspect, so the customer is not left with a verbal summary.

Download the inspection report form (PDF, 2 pages) →

This is the same two-page worksheet as the free dryer vent service report template. For an inspection-only visit, complete the visit, findings, photo, and recommendation sections and leave the work section blank. Free to use for your business. No email or account required.

What an inspection report should record

  • The visit. Business, report number, date, technician, customer, property or unit, dryer, and where the vent terminates.
  • Each component. Termination, transition duct and connections, and the vent run and its access points.
  • One result for each component. Concern, no observed concern, not inspected, or not applicable.
  • What you observed. Describe the condition in plain words and say where on the system it was.
  • Limits. Name every component you could not reach or see, and the reason.
  • Photos. A file or photo number, the location, and a factual caption for each one.
  • Next steps. What you recommend, who is responsible, and any follow-up date that was actually agreed.

Inspected, not inspected, and not applicable

These results are easy to mix up, and the difference matters to the next reader.

Choosing a result for a component
ResultUse it when
No observed concernYou examined the component and saw nothing to report at the time of the visit.
ConcernYou examined the component and observed a condition the customer should know about. Describe it and say whether it was addressed.
Not inspectedThe component exists but you could not reach or see it. Give the reason.
Not applicableThe system does not have that component.

A blank line is not the same as “no observed concern”. If you did not look at something, write not inspected. The report checklist covers each field in more detail.

Inspection only, or inspection and cleaning

If you only inspected, do not list cleaning tasks, and leave airflow readings blank unless you actually measured them. If you inspected and then cleaned, record the findings first and the completed work after, so the report shows what you found before the work started.

If you could not get in at all, that is an access attempt, not an inspection. Use the failed-access guide for that record. For photos and readings, follow the before-and-after documentation guide and the airflow recording guide.

What the form does not do

The form documents observations made during one visit. It does not certify safety, confirm code compliance, or describe concealed parts of the vent that could not be seen. A customer signature records that the report was received or discussed.

Prefer to type it, or keep it on your phone?

The free report generator makes a customer PDF with your details and photos in the browser, with no signup. VentProof for Android records one result for each inspection component, attaches photos to a finding, and puts the findings in a branded customer PDF. It is on Google Play. See the fictional sample report for the layout, or read where reporting software fits alongside a field-service CRM.
